ChatNbills ("we", "us", "our") is a document automation service for Malaysian SMEs, operated at chatnbills.com. We help businesses generate invoices, quotations, and receipts via WhatsApp.

2. Information We Collect

  • Account information: Name, email address, and password when you sign up.
  • Business information: Business name, address, WhatsApp number, and logo that you provide during setup.
  • WhatsApp messages: Message content you send to generate documents. We process this to extract invoice/quotation data.
  • Payment information: Handled entirely by Stripe. We do not store card numbers or banking details.
  • Usage data: Number of documents generated, timestamps, and document content for your dashboard.

3. How We Use Your Information

  • To generate PDF documents from your WhatsApp messages.
  • To manage your account and subscription.
  • To send you service-related communications (e.g. billing receipts).
  • To improve our service.

We do not sell your data to third parties. We do not use your data for advertising.

4. Data Sharing

We share data only with service providers necessary to operate ChatNbills:

  • Stripe — payment processing
  • OpenAI — AI-based document data extraction from WhatsApp messages
  • Meta (WhatsApp Business API) — message delivery

5. Data Retention

We retain your account data for as long as your account is active. Generated documents are stored for up to 12 months. You may request deletion of your data at any time by contacting us.

6. Your Rights

Under Malaysian law (PDPA 2010) and applicable regulations, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Withdraw consent at any time

7. Cookies

We use only essential session cookies required to keep you logged in. We do not use tracking or advertising cookies.

8. Security

All data is transmitted over HTTPS. Passwords are hashed and never stored in plain text. Payment data is handled exclusively by Stripe (PCI-DSS compliant).

9. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes via email or an in-app notice. Continued use of ChatNbills after changes constitutes acceptance.
